Booking Terms & Conditions

1. BOOKING PROCEDURE

i) In order to secure a reservation Preston Reid Limited (the Company) requires a deposit payment of £250 per person together with a signed booking form and insurance premium (where applicable). There are certain tours which require a higher deposit and you will be notified of this at the time of booking where appropriate. Upon receipt of the necessary deposit payments and booking form we will forward a confirmation and will endeavour to reserve and contract on behalf of its client the itinerary requested. Payment of the balance is due for settlement no later than 8 weeks prior to the date of travel. Preston Reid Limited reserves the right to cancel any travel arrangement if the balance is not received by the due date. A contract will exist as soon as we issue a confirmation.

ii) Travel documents are usually forwarded 2-3 weeks prior to date of travel.

iii) Where you book only a single component of a holiday (e.g. a hotel without flights), the Company acts only as a booking agent for the supplier concerned, and accepts on liability for the provision of the product/service involved.

2. BOOKING THROUGH A TRAVEL AGENT

i) Preston Reid will relay information to and receive information from your travel agent. Preston Reid cannot be held responsible for any failure by your travel agent to do this properly, nor for any advice given to you about your booking which did not originate from us.

ii) If booking through a travel agent any money paid by you to that agent is held at all times by the ATOL holder, ie Preston Reid Limited.

3. PRICE GUARANTEE

Payment of the deposit will guarantee the price against surcharges, except those resulting from governmental action, increases in transportation costs (including fuel and airfares, landing taxes and embarkation fees) and currency fluctuations, when we will absorb the first 2% of any increase. Any amount in excess of this 2% may be surcharged and if this increase exceeds 10% you will be entitled to cancel with a full refund of all monies paid except for insurance premiums and amendment charges. Such cancellations must be received in writing within 14 days of the invoice date. We are not able to reduce prices if the value of sterling should strengthen due to certain financial commitments we must make.

4. PAYMENTS

Cheques should be made payable to Preston Reid Limited. We are also able to accept payment by Mastercard, Switch, Visa and American Express.

5. CANCELLATION / ALTERATION BY YOU

i) All cancellations must be advised in writing. Cancellations are effective from the day that they are received by the Company. Recorded delivery or facsimile is strongly recommended.

The following cancellation charges will be payable when written advice of cancellation is received:

ii) We are pleased to assist with requests to amend confirmed reservations, however such alterations may incur administrative fees which will be advised accordingly. Such alterations within 8 weeks of the date of travel may be treated as cancellation with the relevant charges.

6. CANCELLATION / ALTERATION BY US

In the unlikely event that we have to alter or cancel any confirmed travel arrangement you will be offered a comparable alternative or a refund of all monies paid. Should this be as the result of ‘force majeure’, i.e. war, threat of war, terrorism, riot, industrial dispute, nuclear and natural disasters, then no additional compensation is payable.

7. RESPONSIBILITIES OF PRESTON REID LIMITED

i) Preston Reid Limited will make every effort to ensure that all travel arrangements run as smoothly as possible. However it should be borne in mind that many of the areas featured in our tours are remote and well away from efficient communications and infrastructure, and therefore may not achieve the same level of sophistication and development that we are accustomed to in the UK.

ii) The information and opinions given in this brochure by the Company are given in good faith, based on the latest information available to us at the time of printing.

iii) Preston Reid Limited is unable to accept responsibility for any losses, damages or delays in relation to tickets, passports or visas or any other documents in relation to your holiday sent in the post whether by the Company or otherwise.

iv) Should you or one of the persons included in your booking suffer death, personal injury or illness arising out of an activity forming part of your holiday arrangements we will accept responsibility unless there has been no fault on our part or our suppliers and the cause your own or the relevant persons fault, or one which neither we nor our suppliers could have anticipated or avoided even with the exercise of all due care. However, where death or personal injury suffered in the course of air, rail or sea travel and hotel accommodation we limit our liability to compensate you in accordance with the provisions of, respectively, the Warsaw Convention as amended by the Hague Protocol 1955, the 1961 Berne Convention, the 1974 Athens Convention and the 1962 Paris Convention. Where the cause of death or personal injury is the act or omission of our agents, suppliers or sub-contractors our acceptance of liability is subject to you assigning to us your rights against them and to your co-operation with us in any legal action we may wish to take against them.

v) Except in the case of personal injury or death, Preston Reid’s liability and/or the amount of compensation payable shall be limited to the overall price of the holiday.

8. YOUR RESPONSIBILITIES

i) It is your responsibility to make sure that all necessary visas, passports, currency and travellers’ cheques, vaccination certificates and other health documents are in order. We are able to offer general advice on these matters but such requirements are subject to change and the company cannot be held responsible if you do not check current requirements prior to your departure.

ii) The names listed on your booking form will be the names transferred to your flight bookings. These should be the names that appear on your full passports.

iii) You are responsible for reconfirmation of flights, check-in for flights at the correct time and for presenting yourself to take up all pre-booked components of your holiday. No credit or refunds will be given if you fail to take up any component of your holiday, or if you lose, mislay or destroy any travel documents.

iv) If, in the opinion of Preston Reid, any airline pilot, accommodation manager or other person in authority you are behaving in such a manner as to cause danger, distress or annoyance to others or damage property, your holiday arrangements may be terminated by Preston Reid or the supplier concerned. In such an event Preston Reid shall have no liability to you and will not be responsible for making any refunds, paying any compensation or meeting any costs or expenses you incur as a result. Furthermore you must meet any expenses Preston Reid incurs as a result of your behaviour.

v) You are responsible for arranging comprehensive insurance cover for your holiday.

9. AIRLINES AND OTHER SUPPLIERS

As all our itineraries are individually tailored, airlines used differ with each itinerary. In the itineraries suggested in this brochure Preston Reid is not able to state the airline, type of aircraft and destination airport. The transport timings given in confirmed itineraries are provided by the carrier concerned and are subject to such matters as weather conditions, maintenance requirements, the ability of passengers to check-in on time and to air traffic control restrictions in the case of flights. Therefore the times of all forms of transportation are only estimates and cannot be guaranteed. Flights within the countries of South America and southern Africa are particularly prone to change. Preston Reid has no control and accepts no liability whatsoever for cancellations and delays which are subject to operational decisions by airlines and other transport operators and/or traffic control authorities.

10. COMPLAINTS

We take great care to ensure that your holiday is meticulously planned, but very occasionally things can go wrong. If you have a problem during your holiday, please address your complaint immediately to our local representative and, if relevant, to the management of the hotel or service supplier so that Preston Reid has an opportunity to correct the matter during your holiday. If you fail to do so, any compensation to which you are entitled may be reduced or forfeited entirely. If the problem cannot be solved locally and you wish to make a formal complaint details must be submitted in writing to us within 28 days of your return home. We undertake to acknowledge any complaint within 2 weeks and to provide an explanation or compensation (only where appropriate) within 6 weeks of receipt of a written complaint.

11. JURISDICTION

All matters arising from your contract with us are governed by English Law and are subject to the exclusive jurisdiction of the English Courts. Preston Reid is a trading name of Preston Reid Limited, registered in the UK number 2728016.

12. YOUR FINANCIAL PROTECTION

Many of the flights and flight-inclusive holidays on this website are financially protected by the ATOL scheme. But ATOL protection does not apply to all holiday and travel services listed on this website. Please ask us to confirm what protection may apply to your booking. If you do not receive an ATOL Certificate then the booking will not be ATOL protected. If you do receive an ATOL Certificate but all the parts of your trip are not listed on it, those parts will not be ATOL protected. 13. FOREIGN OFFICE TRAVEL ADVICE

From time to time the British Foreign Office issues Travel Advisory for those travelling to certain destinations. If the Foreign Office advises against all we will probably have to cancel your holiday depending on the advice of our insurers. If the Foreign Office advises against non-essential travel, we will not usually cancel your holiday, although we will be happy to discuss the possible risks with you. The decision as to whether or not to travel in this instance will be your and our normal cancellation charges will apply. You should check with your insurance company to confirm how a Travel Advisory Notice from the Foreign Office would affect your policy.
